Automate routine ticket changes
Workspace owners and administrators manage ticket rules under Workspace Settings → Automations. Every new rule starts disabled. Preview a custom rule before you enable it.
A custom rule can run when a ticket is created, enters a lane, is updated, or changes status. Choose a workspace, board, or lane. You can match a ticket's status, priority, kind, or archived state. Then choose when the rule runs and which field it sets: status, priority, kind, due date, or archived. The rule can run at once, after a delay, when the ticket is due, or one day before it is due. Preview shows recent matching tickets without changing them.
The Archive completed tickets template waits until a ticket has stayed complete for 7, 14, 30, 60, or 90 days. Select a delay and choose Use template. ToDoddle saves the rule but does not enable it. Review the rule, then turn it on when you are ready.
You can also create a rule for a ticket that stays in a chosen status for 1, 7, 14, 30, 60, or 90 days. These status-age rules apply across the workspace. Projects can turn each workspace rule off through their automation settings.
To handle tickets that reached the time limit before you enabled the rule, choose Preview existing tickets on the saved rule. The preview shows tickets that are due, still waiting, or have an unknown status start time. It makes no changes. Turn on the rule, then choose Schedule catch-up to queue due tickets. Repeating catch-up does not queue the same ticket and status period twice. Older tickets with an unknown start time are excluded.
Before an automatic archive, ToDoddle checks the ticket again. It skips the archive when the ticket has an open review, an unresolved blocker, or time that is still part of an active draft invoice. A reopened or already archived ticket also fails the saved rule conditions and is not archived.
The Scheduled panel shows the planned archive date. Choose Archive now when you want to archive that ticket without waiting. This is a direct human action.
Archive does not delete a ticket. ToDoddle keeps its comments, links, activity, time, reports, and invoice history. Normal active-work views and workspace search hide the archived ticket. Restore it from an archived-ticket view to make it active and searchable again.
