Collect and triage project requests

Use Intake to collect an idea or request before it becomes committed project work. This form is for signed-in project members. It does not create a public submission link.

Project owners and administrators configure the form. They can set its title, description, questions, default owner, and active state. Questions can use short text, long text, or a choice list. The manager also decides whether an accepted request becomes a ticket or a draft proposal. For tickets, select the destination board and lane.

When the form is active, a project member can send a request and attach up to ten project files. The request starts in the triage inbox. It does not create a ticket or proposal at this stage. The requester can see their own submissions. Other non-managers cannot see them.

A project owner or administrator can:

  • accept the request;
  • ask the requester for more information;
  • defer the request; or
  • reject the request.

If more information is needed, the requester can update the answers and send them back to triage. Accepting a request creates one ticket or one draft proposal. The accepted item keeps the relevant files, and the intake record links to the result.

Attachments use the normal project document limits. If a file upload succeeds but the request does not, the file remains in the project document library so it can be recovered.
